Connecting your calendar and your day

I show you your whole calendar, find upcoming events and change them with you – agenda, attendees and attachments included. I only notify attendees when you explicitly choose to.

With your calendar connected, I answer meeting requests with times that are actually free, add confirmed meetings and show you what's coming up today and tomorrow. Without a calendar, I stick to your inbox.

Connect your calendar

  1. Open Meetings & tasks: the Meetings tab in settings, on your phone More → Meetings.
  2. Under Connect calendar, tasks and contacts you'll find each of your accounts. Tap Connect next to one.
  3. Google asks for permission. Afterwards you'll see ticks next to Calendar, Tasks, Contacts and Drive (selected files).

You grant access per account. I check free and busy times across all connected accounts together, personal and work. If you pick the wrong Google account by mistake, I store nothing and tell you which account was meant. If an area is missing later, tap Grant again.

On the same page, under Your meeting hours, you set when I may offer meetings. More in Meeting requests.

Your day

In the Front office, open Your day. It shows:

  • Meetings for today and tomorrow. Tasks with a time appear in between as reminders.
  • Tasks from Google Tasks, sorted by due date.
  • Being arranged: meetings I'm currently arranging with someone.
  • Deadlines, for example invoices that are due soon.

Tap a meeting to see location, attendees, agenda and attachments. Depending on the meeting you can Join, accept, Reschedule or Propose a new time. Your own meetings without guests can become a task with Make it a task.

Your whole calendar lives at Calendar. The clock and desk calendar on the Desk open it too.

The whole calendar

At Calendar you see your events as Month, Week, Day or List. The arrows page through, Today jumps back, and the date field takes you to a specific day. On your phone I show the list first, because it's easier to read there.

  • I show the events of every account you've selected at the top right. With “All accounts” each account has its own colour, and the account name is written next to the event. The Accounts line explains the colours.
  • All-day and multi-day events sit at the top of the day; multi-day ones appear on every day they last.
  • Times I've held for a meeting I'm arranging are dashed. Declined events are struck through.
  • Next to it you still see today, tomorrow and your open tasks. You can tick off a task right there.

I read each account's main calendar. I can only show further calendars (a shared team calendar, for example) if Google lets me list your calendars. The permission I ask for today covers events only, so events in other calendars appear once that permission is added.

Search events

Type a keyword into Search events at the top, such as a name, a company or a topic. I search titles, descriptions, locations and attendees across all accounts shown, in upcoming events only. Narrow down the dates limits the search to a period. Tap a match to open the event.

View and edit an event

An event shows the time, location, video call, attendees with their replies, the description (agenda) and attachments. Under Edit you can change:

  • the title, date, start and end or the duration, including All day,
  • the location and Description / agenda (several lines),
  • attendees: remove them with a tick, add new ones under Add attendees,
  • the Reminder and, if there isn't one yet, a video call link (Create a video call link (Google Meet)).

If there are other attendees, I ask Notify attendees? before saving. You decide every time: either I send everyone the change, or I change the event only in your calendar, without a message. Without your choice I save nothing. The same goes for deleting, attachments and your reply to an invitation.

+ Event creates a new event. If you add attendees, they only get an invitation when you explicitly choose that.

I can only change events you created yourself or where the organiser lets guests make changes. Other events show a lock. There you can accept, reply maybe or decline under Your reply. For recurring events a change applies to that one occurrence only. You change the whole series via Open in Google Calendar.

Attachments

Under Add attachment pick a file (max. 10 MB) and tap Upload and attach. I put it in your Google Drive in the folder “Consent+ Attachments” and attach it to the event. If the file is already in your Drive, paste its link under Attach an existing Drive file. Remove takes an attachment off the event again. The file itself stays in your Drive.

For attachments I need the account's Drive permission. If it's missing, the event shows Connect Drive. With it I only see files I create or you give me, never your whole Drive. Whether attendees may open a file is up to your Google Drive sharing settings.

Your chief of staff's settings

Under Settings → Chief of staff (on your phone More → Chief of staff) you decide how I handle meetings:

  • Meeting confirmations under What I may do myself: on Ask me I show you every confirmation first. On Handle it I add accepted times myself and confirm them.
  • Reminder before appointments: a notification a few minutes before the meeting.
  • Morning briefing and Daily wrap-up: a short update in the morning and in the evening.

So nothing gets double-booked, I put offered times into your calendar as private blockers (“Held: …”, no invitation). They disappear by themselves once a time is confirmed or the request expires (How I suggest times).

If something looks wrong

If a meeting is missing, check on Meetings & tasks that the account has a tick next to Calendar. I read the account's main calendar. If you can't change an event, someone else organised it (View and edit an event). If a suggestion doesn't fit, change your meeting hours and tap Save.
