Send, file, vet

Every item has one main action. You sign off, file, or let me vet – and can undo any action shortly afterwards.

Send

In the Sign-off folder the reply sits ready under Your reply. You can change subject and text directly; as soon as you leave the field, I quietly save it as a Gmail draft. If the text still contains a gap in double square brackets, something is missing that only you know. Jump there jumps to it, and Send stays locked until the gap is filled.

Send (or Enter) doesn’t send the reply immediately but after a short undo window. A checkbox below makes me remind you if no reply arrives within a few days.

Reply not quite right? Below the text are prompts like Shorter, Decline or More formal; with Rephrase … you give me your own instruction (“accept, but only from October”). I then rewrite the draft.

Choosing options

In the Decision folder my recommendation is the first button on the card, with the alternatives next to it. If I couldn’t pull concrete options from the email, the card offers Accept, Decline and Ask for details. One click and I write the matching reply; the item then becomes a finished reply you sign off as above.

File

File without replying closes the item without a reply: the email counts as read and leaves the inbox; a prepared draft is discarded after the undo window. In the Reading folder the main action is Mark read and file; Mark all read and file clears the whole folder.

After filing I sometimes ask whether I should file emails from this sender straight away from now on. “Yes, always” creates the rule (Sender rules).

Vet

For cold outreach I suggest having it vetted first: Have it vetted. I then reply on your behalf, friendly and in the sender’s language, openly as your AI chief of staff. The sender briefly submits what it’s about and why you. Only what fits your topics reaches you, vetted and summarised. How does it work? · My reply shows you the exact reply beforehand.

This requires Give sorted-out senders a second chance to be switched on. After the first time I ask whether I should always vet cold outreach like this; the reply then goes out without asking, only to business addresses and at most once every 90 days per sender. Other ways

The ⋯ menu in the item bundles everything rare: Forward … with a note (attachments stay in Gmail), Reply myself, New file, Mark as unread, Discard suggestion, Spam and Delete.

Undo

After sending, filing, forwarding and vetting, a bar appears at the bottom with Undo and a countdown: what you trigger yourself can be taken back for 20 seconds; what I handle on my own, for 10 minutes (What I may do on my own). While it runs, nothing has happened yet: replies and forwards only go out once it ends, like “undo send” in Gmail. The same entries sit in the History under Done today, also with Undo while the window is open. After Delete or Spam the bar offers to bring the email back.

Reply drafts are limited on the free plan; once the allowance is used up, I say so in the item (Subscription and Pro).

If something’s wrong

If a reply went out by accident, check the History: within the 20 seconds you can pull it back; after that the email is out. If I write in the wrong tone, correct the text or give me an instruction; for the long run you set tone and style under Settings → Replies (And the tone?).
