Meeting requests

When someone asks for a meeting, I find three free times, hold them in your calendar and prepare a reply. Nothing gets added and nobody gets invited until you agree.

I only handle meeting requests with a connected calendar (Connect your calendar). Without one, I show you the email like any other.

How I suggest times

When I spot a request for a meeting in an email, this is what I do:

  1. I look for three free times, spread across different days where possible. Busy means anything in one of your connected calendars, plus times I've just offered to someone else.
  2. I stick to Your meeting hours on Meetings & tasks: Days for meetings, Earliest and Latest, Max meetings per day, Gap between meetings (minutes), Earliest offer (hours from now), Look ahead (days) and No meetings (focus days). I skip days blocked all day, such as holidays. The length depends on the Default format: video, phone or in person.
  3. I hold the three times in your calendar ("Held: …", private, no invitation), so nothing gets booked twice.
  4. A reply offering exactly these times waits in the Sign-off folder. It reveals nothing about your calendar. You send it, edit it or discard it.

If nothing is free within your meeting hours, the email goes to the Decision folder and you decide yourself.

You can start the scheduling yourself too: type into the field at the top (on your phone: ✦ in the tab bar) something like "Set up a meeting with Anna". I'll draft an email with three times.

When the reply comes in

  • A time works: I show you the confirmation. Once you send it and the undo window has passed, I add the meeting. Google sends the invitation, with a Meet link for video calls. I release the other held times.
  • Counter-proposal: If the requested time is free and within your meeting hours, I confirm it. Otherwise I offer new times, on the requested day if possible, without giving reasons. After several rounds, the conversation comes back to you.
  • Declined: The held times are released.
  • Unclear: I put the email in front of you to decide.

If no answer arrives, the held times expire after the number of days set under Held times expire after (days without reply). If you send your own text instead of my draft and it doesn't mention the offered times, I end the scheduling and release the held times.

Let me confirm on my own

Once you've approved three accepted meetings without changes, I'll ask whether I should take this over. You can also set it directly on the assistant page under Meeting confirmations. During the trial period, and wherever hard limits apply, I still ask you first.

If something looks wrong

If the suggestions don't fit, change your meeting hours. If a meeting is wrong, cancel or reschedule it in Your day. You can take back a confirmation within the window with Undo.
